Acceptable Use Policy
Effective Date: April 2026
Purpose
This Acceptable Use Policy ("AUP") sets out the rules for using SMB Solutions Cloud Services ("our services"). It explains what you can and can't do when using our infrastructure, hosting, and cloud platforms. We've written it in plain language so it's easy to understand.
By using our services, you agree to follow this policy.
Scope
This policy applies to everyone who uses our services — including customers, partners, resellers, and their end users. It covers all SMB Solutions Cloud Services infrastructure, virtual machines, applications, networks, and any data stored, sent, or processed on our platforms.
Acceptable Use
When using our services, you agree to:
• Follow all applicable Australian laws, including the Privacy Act 1988, Spam Act 2003, and Australian Consumer Law.
• Keep your login credentials private and secure.
• Apply reasonable security practices — such as keeping software up to date, using encryption, and controlling who has access.
• Make sure anyone you allow to use our services (contractors, clients, staff) also follows this policy.
• Let us know straight away if you suspect a breach or misuse.
Prohibited Activities
You must not use our services to:
• Do anything illegal, fraudulent, or that infringes someone else's intellectual property.
• Try to access systems or data you're not authorised to use, or spread malicious software (malware, ransomware, viruses, etc.).
• Send bulk unsolicited emails or spam.
• Store or share content that is offensive, abusive, or harmful.
• Use excessive resources in a way that affects other customers' experience.
• Circumvent, disable, or interfere with any security or access controls on our systems.
• Use AI or automation tools in a way that violates this policy or applicable law.
Security & Data Compliance
You're responsible for keeping your environment secure. This means:
• Keeping your systems and software up to date.
• Using Multi-Factor Authentication (MFA) wherever possible.
• Encrypting sensitive data at rest and in transit.
• Following the Australian Privacy Principles (APPs) when handling personal information.
We monitor our infrastructure for performance, security, and compliance. We will notify you of any issues that affect your services where we are permitted to do so.
Enforcement & Actions
If we believe this policy has been breached, we may:
• Investigate the suspected violation.
• Suspend or restrict access to your services.
• Terminate your services in serious cases.
• Notify relevant authorities if required by law.
Wherever possible, we'll contact you before taking action. However, if there is an immediate risk to our systems or other customers, we may act first and notify you afterwards.
Reporting Violations
If you notice or suspect misuse or a security issue, please report it promptly:
• Email: richard@smbsolutions.com.au
• SMB Solutions Client Portal
We take all reports seriously and will investigate promptly. You won't be penalised for reporting a genuine concern in good faith.
Policy Review
We review this policy at least once a year, or sooner if there are significant changes to our services, legal requirements, or industry standards. The current version is always available on our website. Continued use of our services after an update means you accept the revised policy.
Acknowledgement
By using SMB Solutions Cloud Services, you confirm that you have read and agreed to this policy. Breaches may result in suspension, termination of services, or legal action depending on the severity of the violation.
